Background

Vantage Systems, Inc. is a multidisciplinary aerospace engineering firm that has supported federal missions since 1992. The company delivers mechanical, electrical, thermal, software, and systems engineering services across aerospace and aviation programs, serving customers that include NASA, the Air Force, the Space Force, and the Navy.

To understand how Vantage Systems manages opportunity awareness and pipeline visibility in a complex GovCon environment, we spoke with Donald Frank, Chief Operating Officer. As COO, Frank oversees business development, capture, and contracts in addition to ongoing operations, giving him a direct line of sight into how opportunities are identified, evaluated, and pursued across multiple contract vehicles, joint ventures, mentor-protégé relationships, and external partners.

The Challenge: Pipeline Visibility Dependent on Manual Monitoring

As Vantage Systems' opportunity sources and partnerships expanded, the company had access to more data, but keeping pipeline visibility up-to-date still depended on manual monitoring.

To identify opportunities, Frank’s team relied on GovWin, SAM.gov, agency forecasts, and internal knowledge, tracking their pipeline in SharePoint. However, staying current meant checking multiple external portals and manually updating internal trackers.

This manual approach costs the team hours every day, reducing the time available to evaluate opportunities, respond to amendments, and advance capture efforts.

In addition, daily monitoring was a sustained effort. Logging into various portals, each with unique credentials and update schedules, could take hours every morning. Even then, awareness gaps remained, as updates were scattered and no single system showed how opportunities evolved.

The impact of this was most evident on GWACs, where task orders can drop without warning and require constant monitoring to catch. Occasionally, it would still take two or three days to notice new orders had dropped.

In federal contracting, delays like this compress already tight decision windows. Less lead time to review an opportunity translates into less time for bid/no-bid decision-making.

The Solution: Real-Time Awareness Across Opportunities and Pipelines

With NextStage, Vantage Systems gained streamlined pipeline management, improved team alignment, and opportunity monitoring on a single platform, eliminating the need for manual updates.

Instead of logging into multiple portals every morning, Frank established a daily rhythm of reviewing updates and saved searches in one platform. When something changed or dropped, it surfaced in NextStage.

“I used to look at 15 different tools. Now I can look at one.”

Centralizing updates made information instantly accessible, substantially reducing reconciliation and manual updates from hours to minutes. Frank states, “I can look at my pipeline in a matter of seconds and know exactly what’s progressing and what’s not,” emphasizing faster, clearer insight into pipeline status.

The platform also changed how Vantage Systems works with external teams. Frank manages eight to nine active pipelines across the organization, including pipelines for joint ventures, mentor-protégé relationships, subcontractors, and consultants. NextStage gives him separate pipelines for each partner while maintaining control over visibility and security. This makes it easier to collaborate within specific relationships without forcing everything into a single shared view.

“I can collaborate across joint ventures and mentor-protégé relationships in one place. I haven’t found another tool that does that.”

For Frank, the operational gains pointed to something bigger.

"NextStage helps companies mature their BD pipeline discipline, financial structure, capture processes, and delivery models. Those are the things that turn a small business into a strong mid-tier competitor."

The Results

Earlier Awareness Led to More Bids

Earlier visibility into opportunities enabled Vantage Systems to proactively identify and pursue more bids, amplifying its competitive edge.

Once Frank’s team reduced the time spent monitoring portals and maintaining trackers, they were able to focus more on the identification and capture phases, where decisions have the greatest impact. Catching opportunities sooner meant fewer surprises and clearer prioritization across a complex pipeline.

“We’ve increased our number of bids by more than 50% with NextStage.”

The bid increase resulted from NextStage surfacing previously missed opportunities. This ensured Frank was notified of RFPs and task orders as soon as they dropped, even when focused elsewhere, leading to more timely and strategic bidding.

Operationally, Vantage Systems uses NextStage now to support:

  • Three mentor-protégé relationships and four joint ventures using shared pipelines

  • Earlier bid and no-bid decisions

  • Better coordination during proposal phase-ins

  • CFO-level visibility into pipeline data for financial planning

  • Improved consistency in following internal procedures

Vantage Systems measured the impact directly:

  • 50%+ increase in bid volume

  • 2–3 hours per day saved that was previously spent monitoring portals

  • 8-9 pipelines actively managed at once

The Bottom Line

Centralizing visibility reduced manual monitoring time, giving Vantage Systems’ leadership more room to evaluate opportunities and focus on the right pursuits. As a result, bid volume increased by more than 50%. For a firm managing eight active pipelines across joint ventures, mentor-protégé relationships, and subcontractors, a single tool to manage business development, pipeline, and proposals is the difference between missing bids and winning them.
